HubSpot
Connect HubSpot to see your HubSpot companies in a TheirStack company list, with their HubSpot fields and whether each one is a customer or has an open deal.
Beta
The HubSpot integration is in beta. If something does not work as you expect, write to us at support@theirstack.com.
Connect HubSpot and TheirStack creates a company list called HubSpot with every company of your CRM that we can match to a TheirStack company. Each company keeps its HubSpot fields, and gets a CRM status: Customer, Open deal, Former customer or In CRM. Next, your signals use that status to hide the companies your team already works with.
What TheirStack reads, and what it never does
TheirStack reads three things from HubSpot:
- Your companies.
- Every company property, including your custom ones.
- The owners, so each company shows who owns it.
TheirStack never reads contacts, emails, notes or deals, and it never writes to HubSpot. It only asks HubSpot for read permissions.
Who can connect
- In TheirStack, an owner of the workspace.
- In HubSpot, a Super Admin, or a user with permission to view companies, company properties and owners.
To connect, go to Settings → Integrations → HubSpot and click Connect HubSpot. HubSpot asks you to approve the access.
How companies are matched
TheirStack matches each HubSpot company by its domain and its additional domains. When the domain does not tell which company it is, TheirStack uses the page in the company's LinkedIn Company Page property, as long as it is a LinkedIn company or school page. A company the domain already identified keeps that match whatever its LinkedIn page says. When HubSpot has the same company twice, both records count as one company in the list.
A company is not added to the list when neither its domain nor its LinkedIn page tells which company it is:
- It has no domain in HubSpot.
- Its domain is not valid, or it is a shared page such as a link-in-bio page or a URL shortener.
- Several different companies use that domain.
- TheirStack does not know that domain yet. This happens often with companies that changed domain.
A search that uses the HubSpot list leaves them out, but the list itself still shows them, each with its reason. To see only them, add the TheirStack match filter and leave out Matched. To fix one, add its LinkedIn page in HubSpot, add its current website as the domain, or add its old domain as an additional domain. The change shows after the next sync.
The HubSpot list
The HubSpot list is a regular TheirStack company list with a few differences:
- It shows the HubSpot data of each company. Pick any HubSpot property as a column.
- It shows the CRM status and the owner of each company.
- Each company links to its record in HubSpot.
- It is read-only: you change it in HubSpot, and TheirStack keeps it in sync. To edit a copy, duplicate the list.
You can use the HubSpot list in your searches like any other list, for example to filter the job or company search by the companies in your CRM.
How TheirStack decides the CRM status
Each matched company gets one status:
| Status | Default rule |
|---|---|
| Customer | The lifecycle stage is Customer or Evangelist |
| Open deal | The company has at least one open deal |
| Former customer | None until you add one |
| In CRM | Any other matched company |
TheirStack checks the rules in that order, and the first one that holds gives the status. A customer with an open deal is a Customer. A former customer with an open deal is an Open deal, because your team is already working on that deal.
If you track customers another way, for example with a custom "Account status" property, change the rules in Settings → Integrations → HubSpot → CRM status rules. Pick the property and the values that mean customer, preview how many companies change, and save. TheirStack then updates the status of every company.
HubSpot has no standard property for customers who left, so Former customer has no rule by default. If your HubSpot tracks them, for example with an "Account status" of Churned or a count of closed contracts, add a Former customer rule with that property.
If you delete a HubSpot property that your rules use, the sync stops and every company keeps its last status until you update the rules.
How often it syncs
- The first import starts when you connect. The HubSpot list fills in when it finishes.
- Every hour, TheirStack reads the companies that changed in HubSpot.
- Every night, it reads every company again. This catches deleted and merged companies.
- Sync now in the settings starts a full sync at any moment.
A change in HubSpot can take up to an hour to show in TheirStack. The settings page shows when the last sync finished and, if it failed, why.
Signals
Once HubSpot is connected, your signals hide the companies HubSpot marks as customers or open deals, so the accounts feed shows the companies nobody works yet. Former customers stay in the feed. The rest of the accounts show their CRM status, or No CRM match when they are not matched to a HubSpot company.
To choose which accounts you see, add the CRM status filter above the accounts feed. Pick is any of to see only some statuses: only your customers, for example, or only the accounts with No CRM match. Pick is none of to leave some out, such as open deals. While the filter is on, it applies to every signal.
Without the filter, each signal decides on its own. To see your customers and open deals in a signal, edit the signal and turn off Hide HubSpot customers and open deals from this signal. Your signals' filters do not change.
If the HubSpot sync is behind, or HubSpot needs to be reconnected, the feed warns you that the CRM statuses may be out of date.
Credits
Connecting HubSpot, syncing it and the HubSpot list are free. Revealing TheirStack data in search or enrichment costs the same credits as usual.
Disconnecting
To disconnect, go to Settings → Integrations → HubSpot and click Disconnect. TheirStack then:
- Stops syncing.
- Deletes the imported companies and the HubSpot list right away.
- Revokes its access to HubSpot.
Signals stop hiding customers and open deals. The settings page lists the signals affected before you confirm.
If someone uninstalls the app in HubSpot, the settings page asks you to reconnect. Until you reconnect or disconnect, TheirStack keeps the last synced list and marks it as out of date.
Known limits
- HubSpot duplicates show once in the list.
- Changes in HubSpot can take up to an hour to show.
- Companies are matched by domain only. A company that changed domain may not be matched until you add its old domain in HubSpot.
- The integration is in beta: one HubSpot account per workspace, and HubSpot only for now.
